Practical guide

How to track prepaid class packs.

A prepaid class pack gives a customer a fixed number of visits to use. A useful tracking system keeps the original allowance, visits used and remaining balance clear to both staff and customers.

Define the package before selling it

Decide how many sessions the pack includes and whether it expires. Explain your booking, cancellation and refund rules to your customers. In Punchless, set the class credits and optional expiry for the package; keep taking payments through your usual payment method.

Assign the pack to the right customer

After the customer pays, assign their package in Punchless. Add the customer yourself or share your business signup QR so they can register. Check that staff select the correct customer and package before recording a visit.

Record each attended session

Scan the customer's pass or search for them by name. Select the package and confirm the check-in to deduct one session credit. Recording attendance is a staff action; displaying a pass alone does not use a credit.

Example: a customer starts with a 10-class Pilates pack. After one confirmed visit, 9 classes remain. After a second visit, 8 remain. These numbers illustrate the workflow rather than a customer result.

Resolve balance questions using visit history

When a customer asks how many sessions remain, check their balance and visit history. If a staff member records a session by mistake, undo that check-in to restore the credit while retaining an activity history.
